The Build Plan

Patient Intake & Recall
for a physiotherapy clinic.

Everything we would build, everything we deliberately would not, what it connects to, how long it takes and exactly what it costs.

What you told us

“Reception spends the morning on the phone chasing paperwork, and we have hundreds of patients who stopped coming halfway through a treatment plan. Nobody has time to ring them.”

Practice Manager · 6 practitioners, 2 sites

Two problems, both of them admin. New patients arrive with nothing filled in, so the first ten minutes of a thirty-minute appointment is paperwork, and reception chases consent forms by phone the day before.

The second is bigger and quieter. You have patients who stopped partway through a plan, patients overdue for review, and cancellations that never rebooked. That list exists in Cliniko but nobody has the hours to work it.

You were clear that nothing clinical gets automated and nothing goes out under a practitioner's name without a human seeing it. The plan reflects that.

02

What this is costing you now

Numbers from your own figures on the call, not industry averages. These are the basis for the plan, so if any of them are wrong, tell us and the plan changes.

The recall side is where the money is. Intake is where the daily frustration is. This builds both, because they share the same plumbing.

03

What we would build

One system in two halves, sitting on top of Cliniko. Nothing about how your practitioners work changes.

Part 01

Pre-appointment intake

A link goes out when the appointment is booked. History, consent and current symptoms are collected, and written into the patient's Cliniko record before they arrive.

Part 02

Urgency flagging

Anything in an intake response that should be seen sooner is flagged to a human immediately, rather than sitting in a form until the appointment.

Part 03

Recall engine

Finds lapsed, overdue and never-rebooked patients on rules you set, and contacts them by SMS or email in your clinic's voice, at a pace you control.

Part 04

Reception dashboard

One screen showing who has not completed intake, who has been contacted, who replied and who needs a person to call.

04

What a Monday morning looks like after

Today

  • 8:30am — reception starts ringing tomorrow's patients for consent forms
  • 9:00am — new patient arrives, first 10 minutes is paperwork
  • Lapsed patient list has not been worked in months
  • Cancellations are noted, then forgotten

After

  • 8:30am — intake already completed for tomorrow, exceptions listed
  • 9:00am — new patient's history is already in Cliniko
  • Recall runs daily in the background, at a volume you set
  • Cancellations are followed up the same day, automatically
05

What it connects to

06

What is not in scope

Listed as plainly as what is, because this is the part that quietly becomes an extra invoice elsewhere. None of the below is in the price. All of it can be quoted separately later.

07

Timeline — 21 days from approval

Days 1–3

Rules, forms and tone

We take your intake questions, your consent wording and your clinic's voice, and agree exactly what gets escalated to a person.

Days 4–11

Build

Intake, flagging, recall and the Cliniko connection. You see a working version at the end of week one.

Days 12–16

Silent testing

It runs against real appointments and the real lapsed list without sending anything, so you can read every message it would have sent.

Days 17–21

Go live and handover

Intake switched on first, recall second at a volume you choose. Walkthrough for reception, documentation, accounts in your name.

08

What you get at handover

From that point it is yours. You can extend it, hand it to another developer, or take it in-house. There is no licence and nothing stops working if you stop talking to us.

09

The price

One number.
Fixed · + GST · scope exactly as written above

On a real plan, this is where your figure sits — one number for everything above, agreed before a line of code is written. We do not publish it on the samples, because a price list would mean pricing your business before we have spoken to you.

On approval50%before we start
At handover50%when it is live and yours

This number does not move. If the build takes longer than we estimated, that is our problem, not your invoice. If you want something added mid-build, we quote it separately and you decide — it never arrives as a surprise line item.

Ongoing is optional. After the included 30 days, hosting, AI usage, monitoring and improvements are a monthly if you want them. Cancel whenever you like; you keep the software either way.

10

What we need from you

That is the whole commitment. No workshops, no specification documents to review, no weekly status meetings.

11

Assumptions and risks

Stated up front, because the ones nobody mentions are the ones that blow up a fixed price.
